For doctoral students: Progress Report
For CSI members: Meeting Report

Role of the CSI

The Individual Monitoring Committee (CSI) ensures the smooth progress of the doctoral student's journey. It also works to prevent any form of conflict, discrimination, or harassment.

The committee meets with the doctoral student at least once a year (starting from the first year) and, during this meeting, assesses the training conditions and the research progress. It provides recommendations and a reasoned opinion on re-enrollment.

CSI Composition

Each doctoral student is supported by an Individual Monitoring Committee composed of at least two people who are not involved in the thesis. The members are appointed within the first four months following registration by the doctoral school's director, based on the thesis director's proposal and in consultation with the doctoral student.

  • CSI members do not participate in supervising the doctoral student's work.
  • At least two members for the entire duration of the PhD
  • At least one member must hold an HDR (habilitation to supervise research)
  • At least one member must be external to the host laboratory, the doctoral student’s home institution, and the doctoral school
  • At least one member must be a specialist in the field or closely related to the thesis topic
  • At least one member must be a non-specialist external to the research domain of the thesis
For more details, please refer to Article 9 of the doctoral school's internal regulations.

2025 Campaign

As in previous years, for the 2025 campaign, you must primarily use the CSI module of the Amethis application.

To help you with this process, here is the presentation and video of the "Individual Monitoring Committee" webinar organized by the doctoral college on March 30, 2023.

    1) Enter your CSI in Amethis

If you are in your first year, you must enter your CSI members in Amethis. You will find the step-by-step guide in the Amethis FAQ by following this direct link.
Second-year and later students have already done this in previous years and can move directly to step 2) below.

    2) Submit your progress report and meet with your CSI

In consultation with your thesis supervisor, you must organize the meeting with your CSI members (ideally in May or early June).
The progress report template, including a summary of your activities for 2024-2025, must be sent to your thesis supervisor and CSI members at least one week before your CSI meeting.

This progress report must be uploaded to Amethis, and the date of the meeting with your CSI must also be indicated there.
Download the following document: Progress Report FR - VF EDGE 2024-2025.
This document must be uploaded by the doctoral student to Amethis once completed, following the procedure linked here.

    3) CSI feedback on Amethis

Following your meeting, the members of your Individual Monitoring Committee must also upload their meeting report to Amethis and provide their opinion on your re-enrollment.
Download the following document: CSI Meeting Report VF EDGE 2024-2025.
This document must be uploaded by one of the CSI members, designated as the CSI correspondent, once completed by following the procedure linked here.

     4) Re-enrollment request on Amethis

At the same time, in July, you will need to submit your re-enrollment request on Amethis by following the tutorial linked here.
The different parties involved (thesis supervisor, unit director, doctoral school, and institution) will provide their opinions directly on the platform.
You will need to submit an application by clicking on the "Enrollment Request" menu at the top left of the page (3 bars) then "Re-enrollment Request". A presentation page will open, and you just need to click on "doctoral student" (to start your re-enrollment application).

The application form will be pre-filled with the information from your file. However, you are required to complete several tabs if they are not already filled, such as the funding and the training agreement. Depending on your year of re-enrollment, you may be asked to provide certain documents (proof of funding).
For doctoral students re-enrolling in the fourth year or beyond, they will need to submit the extension request form along with the latest CSI report.

If the timeline presented is respected, you will be contacted in July by your academic registrar to proceed with the payment of university fees.

It is imperative that your re-enrollment, including the payment of university fees, is finalized no later than December 31, 2025.

If you encounter difficulties, do not hesitate to consult the FAQ at the top of the Amethis page.

Thesis Juries

The thesis jury is appointed by the head of the student's home institution, after consultation with the director of the doctoral school and the thesis supervisor. The number of jury members is between four and eight. The jury is composed of at least half French or international experts who have no involvement in the doctoral student's work, are external to both the doctoral school and the student's home institution, and are chosen for their scientific or professional expertise in the relevant research field.

The defense is public, unless an exemption is exceptionally granted by the head of the institution if the thesis subject is proven to be confidential.

Before the defense, the thesis summary is disseminated within the institution or institutions benefiting from a joint accreditation.

Defense Procedure

The defense procedure is specific to each institution.

Doctoral Oath

The decree of August 26, 2022, amending the decree of May 25, 2016, which sets the national framework for doctoral training and the conditions leading to the award of the national doctoral degree, introduces a scientific integrity oath for new doctors (defenses from January 1, 2023).
